The announcement text: PA- Perm- £17.5K - Central London Principal Responsibilities To receive, sort and prioritise correspondence for the Head of Development and draft replies for signature. To receive and filter incoming calls for the Head of Development, taking messages or dealing with enquiries where necessary. To manage the Head of Development’s appointment diary in liaison with internal colleagues and external contacts and bring forward diary. To give administrative support to the Chairman of Development Committee and the International Commissioner. To provide support to the International Commissioner in her communication with Country*Region Advisers. To be responsible for all correspondence relating to camps hosted by Associations overseas and ensuring they are promoted with the UK. To set up and maintain filing systems. To co-ordinate the staff group which monitors ways of work within Development. To act as the Health and Safety Supervisor for the Development Department. To undertake special project. To perform duties associated with administrative support eg. word processing, PowerPoint presentations, maintenance of filing systems, organising travel arrangements etc. To ensure sensitive matters are handled with tact, diplomacy, and confidentiality. To undertake administration for the department including health and safety, holidays, sickness and TOIL (time off in lieu). To develop knowledge of the department and its work, to be able to answer interdepartmental queries and ensuring that the most appropriate member of the team takes action. To be responsible for co-ordinating meetings, seminars, conferences, taking responsibility for all practical aspects of meetings e.g. venues, papers, minutes, hosting, providing participant packs and organising catering etc. To prepare and co-ordinate Agenda papers and Minutes for the Development Committee and International Sub-group. Circulating these as appropriate. To assist in the induction of new staff and volunteers in Development, sharing working procedures, forms, policies etc. To manage the Development office, ensuring that office facilities are put to best use to meet the needs of the department. To co-ordinate mailing lists*directories associated with the area of work and ensure up to date information is passed on to all relevant people. To contribute to the effective output of the department as a whole. To undertake any other duties which are compatible with this role.
